OFFICE MANAGER


Part-time job 20 hours per week (4 hours per day) Monday-Thursday (1:00-5:00 pm) Saturdays (9:00-1:00 pm) General Duties

  • Open mail and distribute to staff and company personnel.
  • Keep files current using the established filing system that follows non-profit standards.
  • Assist with maintenance and updates to the KBT Website.
  • Keep a current daily office hour schedule in the KBT office and post on exterior door and website.
  • Keep KBT Office uncluttered and clean on a regular basis.
  • Adhere to Covid-19 requirements for performing arts studios.
  • Supervise and train part-time volunteers or interns where applicable.
  • Keep equipment in working order and report failures to Artistic or Academy Director or Board President.
  • Order supplies, printed materials and other items for the Office, Academy and Company upon prior approval of Artistic Director, Academy Director or Board President.
  • Update mailing lists, both email and mail.
  • Help establish a computerized performance picture file.
  • Attend weekly staff meetings, and KBT Board Meetings upon request.
  • Serve as a backup for all Academy operations with the Academy Director and Coordinator.
  • Learn the software system for Academy class Scheduling.
  • Respond quickly to all email and phone messages in a pleasant manner.
  • Update phone voice recorded message to reflect upcoming KBT events and performances or Academy events.
  • Assist in making phone calls for advertisements, sponsorship follow up and group ticket sales.
  • Assist with KBT events upon request.
  • Work with Board President, Artistic Director, Academy Director, on KBT projects and activities.
  • Assist the KBT President and Treasurer to prepare financial documents, and spreadsheets to track performance revenue and income.
  • Other duties as assigned.
Requirements
  • Employee must have excellent Typing and Computer Skills
  • Good Public Relations skillset
  • Experience with Website maintenance
  • Proficiency in Microsoft Office applications preferred
